Privacy Policy

This Privacy Policy is maintained by ClubMatchBot and explains how we collect, use, and share information when clubs and their members use the ClubMatchBot service (the "Service") at clubmatchbot.com.

Information we collect

• Manager account information: name, email, hashed password, and the club they manage.
• Member information provided by the club manager: first name, last name, mobile phone number (E.164 format), skill level, and preferences.
• SMS message content sent to or from the ClubMatchBot number, and carrier metadata (message SID, timestamps, delivery status).
• Match, ladder, and open-play activity, including scores and pairing history.
• Short-lived conversation state used to interpret in-progress text conversations.

How we use information

• Operate matchmaking, ladders, open play, and anonymous proxy messaging between members.
• Send transactional SMS related to matches, scores, and events opted into by the member.
• Provide managers with roster, match, and engagement information for their own club only.
• Secure the service, prevent abuse, and comply with legal obligations.

SMS messaging

Members are opted in by their club manager and confirm consent by replying to the activation message or tapping the activation link. Message frequency varies (typically 2–10 messages per week). Message and data rates may apply. Reply STOP to opt out; reply HELP for help.

We do not share mobile opt-in data or consent with third parties for marketing purposes.Phone numbers and SMS content are used only to deliver the Service.

Service providers (subprocessors)

We use the following providers to operate the Service. They process data on our behalf under their own terms and security practices:

• Twilio — SMS delivery and phone-number routing.
• Lovable Cloud — application hosting, database, and authentication.
• Google (via Lovable AI Gateway) — AI model used to interpret member text messages.

Data retention

We retain member and match data for as long as the club account is active. Conversation state is short-lived and expires automatically. Members and managers may request deletion at any time by contacting us.

Your choices

• Opt out of SMS by replying STOP.
• Ask your club manager to remove you from the roster.
• Contact us to request access, correction, or deletion of your data.

Children

The Service is not directed to children under 13. If a club adds a minor to a roster, the club is responsible for obtaining parent or guardian consent.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected in the "Last updated" date above.
